Two ways to get better at tracking job time and costs

‘I want a better project management system’ is something I often hear from my professional services clients. They want a more efficient way to track time, organise workflow, keep up with new business leads, track expenses, and send invoices. Basically, they want to spend less time on admin and more time on actual work.

If this sounds like you too, Xero has two great project management software options: Xero Projects and WorkflowMax. I thought I’d tell you about both and then we can talk in more detail about the one that could be right for your business.

Xero ProjectsXero Projects focuses on the financial side of job management, letting you track time and job costs with one easy Xero login. More benefits:

  • It supports fixed price and time and expenses billing.

  • You get visibility over all jobs.

  • You can monitor budgets and job costs.

  • It works with Xero Contacts, Bills, Invoices, Bank Reconciliation and Reporting. Quotes, Payroll, timesheets and repeating invoices are coming soon.

Xero Projects is great if it’s time to move to software from your spreadsheet or paper-based system and you want something that’s simple and integrated with Xero.

WorkflowMaxWorkflowMax is a comprehensive and highly customisable, end-to-end option if you need to manage workflow from quote through to invoice while tracking time and costs. The benefits:

  • It’s highly configurable.

  • It features real time integration with Xero invoices and bills (but you don’t have to use Xero).

  • You can manage sales opportunities and activity through its Lead Manager function.

  • It comes with a suite of standard and customised reporting.

  • There’s a tiered subscription based on the number of users.

WorkflowMax is the more heavy duty option to manage large projects and gain powerful financial analysis and critical business intelligence.

Xero Projects offers your first month free if you're already a Xero user or if you create a 30-day free Xero trial account. WorkflowMax offers a 14 day trial. If you’re not sure which option is right for you, try them both and we can see which one is right for your business.

I look forward to hearing from you.
